What to Include in Your Job Application Email?
We are living in a digital world thanks to internet emails replacing all traditional ways of sending job applications. Nowadays most jobs applications are applied through emails. This makes easy the application process for many people but few are able to shortlist. In this post, we are going to show how to send an email that has a high chance to be shortlisted for an interview.
The hiring manager wants and looks for in a particular job email. The major purpose of writing an email for a job application is to let the hiring manager know some of the important things, which should definitely be a part of your job email:
- Your purpose of writing to him/her
- Job you are applying for
- Do you meet the eligibility criteria shared by recruiter, such as qualification, skills, etc.
- How the recipient can connect with you.
FOR YOUR INFORMATION: A poorly written job application email never convinces a recruiter to open any of your attachments (CV)!
1. Use the right email address
First before job application via email make sure your email address is professional don’t use unprofessional email address such as “laprinceses@gmail.com”, “theonlyhandsomeguyalive@yahoo.ca” or “tokyo2cute@hoymail.com”.
Instead in job application via email use a professional email address that comprise your first name and last name or your initial fist name and last name. such as “johnntombo@gmail,com” or”jntombo@gmail,com”
Things to consider when you make your email for job application via email
- Keep it Short — Don’t make your professional email address too long.
- Make it Pronounceable
Create a Google Account(gmail)
2.Subject
In Job application via email, subject is important in sending emails, Some job posts will have specific instructions on what to include in the subject line, so pay attention to that.
If no details are given, don’t write long subject just write the name of the position you’re applying for or write position that you’re applying then your name.

3.The greeting / salutation
During job application via email The greeting / salutation should include the name of the recipient. Some applications will include the name of the Hiring Manager, so address it to that person. Check the email address as well to see the person’s name/surname
4.Body:
In the body Mention the role you’re applying for and relevant skills/experience(Keep your message short) Do not write your entire cover letter (or CV) in the body of the email. write short in not more than one paragraph(Be Focused and Brief)
5.Closing statement:
Closing statement is last sentence in the email body here you should conclude your application with the sentence like below
“I’ve attached my CV and cover letter for your review and consideration. Please don’t hesitate to reach out if you would like additional information. I look forward to hearing from you soon.

6.Include an email signature
In job application via email in the email body Don’t forget to add the proper email signature to close your email and make it easy for the hiring manager to get in touch with you. Your email signature might look something like this:
- First Name Last Name
- Email address
- Phone number
7. Attachments,
When you attaching the attachment that are required, you have to consider file name and file format and file name.
- File name should include your full name + type of attachment eg “JohnNtombo cv” or “JohnNtombo cover letter”.
- File format of your attachment should be format that is easy to open. PDF file is most recommended
8.Last points:
- Every job application is new. Do not forward a previous email conversation, compose a new email for every application
- As always, check for spelling errors
- Before you press send Crosscheck the receipt’s email address
